How we handle data.

2. What this policy covers

This policy explains what personal data we collect on solmonarc.com or when you engage us, how we use it, who we share it with, and your rights under UK GDPR and EU GDPR.

3. Data we collect

3.1 Website browsing — Plausible Analytics

We use Plausible Analytics, which is cookieless. No cookies are stored on your device, no IP addresses are kept in identifiable form, and there is no cross-site tracking.

3.2 The free questionnaire

Your five answers are processed in-session to match you to a downloadable template. We do not capture email, name, or any other contact detail at this step. Nothing is stored about you on our servers.

3.3 The booking form

When you book a call we process your name, email, organisation, and any free-text context you choose to add. Lawful basis: Article 6(1)(b) UK GDPR — pre-contractual steps taken at your request.

3.4 Client engagements

Once you become a client, we process the personal data necessary to deliver the services agreed in our Terms of Service.

3.5 Cold outreach

Where we email you at a publicly listed corporate address (Ltd or LLP), our lawful basis is Article 6(1)(f) UK GDPR legitimate interests. Every email contains our identifying details and a one-click opt-out. We honour opt-outs immediately and indefinitely.

4. Subprocessors

See our subprocessors page for the full current list. We update it whenever a subprocessor changes.

5. International transfers

Where personal data is transferred outside the UK or EEA, we rely on Standard Contractual Clauses (with the UK Addendum where applicable) executed with each subprocessor.

6. Retention

  • Booking-form data: 24 months from last contact, then deleted.
  • Client engagement data: 6 years post-engagement (Companies Act / HMRC requirements).
  • Outreach contact + suppression records: indefinite, so that we can honour opt-outs permanently.

7. Cookies

We do not use tracking cookies. Plausible Analytics is cookieless. We use only strictly-necessary session storage to operate the booking form and questionnaire.

8. Your rights

You have the right to access, rectify, erase, restrict the processing of, port, and object to the use of your personal data. Contact privacy@solmonarc.com and we will respond within one month. You also have the right to complain to the Information Commissioner's Office: ico.org.uk.

9. Changes

Material changes to this policy are notified on this page and, where we hold your email, by email. Minor edits (typos, clarifications) are not separately notified.
